General Terms and Conditions (GTC)

1. Purpose of the General Terms and Conditions

These General Terms and Conditions define the terms of use for the services provided by YELOMEX, a company specializing in registered office domiciliation, meeting space provision, and mail management for companies and freelancers. By using YELOMEX’s services, the user expressly accepts these terms.

2. Description of Services

YELOMEX offers the following services:

  • Registered Office Domiciliation: Provision of a legal administrative address for a company's head office.

  • Mail Management:

    • Option 1: Receipt and scanning of mail with digital forwarding via email.

    • Option 2: Poste Restante – Mail collection at our offices.

    • Option 3: Weekly or monthly physical mail forwarding.

  • Meeting Room Facilities: Equipped rooms with IT equipment and high-speed internet connection.

3. Terms of Service Use

Access to Services Services are accessible upon contract subscription, submission of required documentation, and payment of the required fees. Subscription is reserved for legally constituted natural or legal persons.

Client Obligations The client agrees to:

  • Provide accurate and up-to-date information.

  • Refrain from using the services for illegal activities or those contrary to public order.

  • Inform YELOMEX of any changes regarding their legal status or personal address.

Contract Duration The service agreement is concluded for an indefinite period, with the possibility of termination via a simple email. YELOMEX reserves the right to unilaterally terminate the contract in the event of non-compliance with these terms.

4. Pricing and Payment

Basic Packages:

  • Registered Office Domiciliation with Mail Management: €60/month (excl. VAT).

  • Establishment Unit Domiciliation (Unité d’établissement): €110 (one-time payment, excl. VAT).

Payment Terms: Payments are due monthly or according to the agreed periodicity. In the event of non-payment within the deadlines, the contract may be terminated following a formal notice sent via email.

5. Personal Data Protection

YELOMEX undertakes to process users' personal data in accordance with the GDPR (General Data Protection Regulation) and the Belgian Privacy Act.

  • Collected Data: Identity data (name, contact details), bank details, ID/passport scans, accountant details, and Ultimate Beneficial Owner (UBO) information.

  • Purpose of Processing: Administrative and contractual management, client communication, and compliance with legal obligations (Anti-Money Laundering/AML).

  • Retention Period: Data is kept for 5 years in accordance with AML and counter-terrorism financing legislation.

  • User Rights: You have the right to access, rectify, delete, or limit the processing of your data.

6. Liability

YELOMEX declines all responsibility for:

  • Incidents related to mail forwarding (loss, delay, or damage).

  • Any misuse of services by the client.

  • Damages resulting from prohibited or undeclared activities. The client expressly waives the right to hold YELOMEX civilly or criminally liable for the services provided.

7. Disputes

Any dispute relating to the interpretation or execution of these General Terms and Conditions shall be subject to the exclusive jurisdiction of the French-speaking courts of Brussels.

8. Modification of General Terms and Conditions

YELOMEX reserves the right to modify these terms at any time. Clients will be informed of modifications via the website or by email. By using YELOMEX services, the client acknowledges having read and accepted these General Terms and Conditions without reservation.
