What is domiciliation?
In Belgium, every registered company must have a physical registered office located within Belgian territory. The registered office address is the official address of your company's headquarters. It is at this address that official mail is received and where legal documents such as the articles of association, the register of shareholders, and accounting records are kept.
How does business domiciliation work?
After signing your registered office agreement, an address is assigned to your company. This address then becomes your official business contact information, which you can use on:
• Your website,
• Your business cards,
• Your marketing materials (flyers, brochures),
• Your correspondence with administrative authorities.
What are the conditions for registering a company's address?
To benefit from a registered office service, it is necessary to:
1. To have an active and legally constituted company,
2. Having a VAT number (not required for a company in the process of being formed),
3. To be registered with the Crossroads Bank for Enterprises (CBE),
4. Subscribe for a minimum period of three months for the registered office service.
I don't have a VAT number yet, is that a problem?
Not at all! If your company is in the process of being set up, we can prepare your registered office address based on a quote. Here's how it works:
1. You pay for 3 months of service in advance.
2. We will immediately provide you with the address to give to the notary.
3. Once we obtain your VAT number, the quote is converted into an invoice.
This allows you to include these costs in your company's business expenses.
What steps do I need to take to transfer my company's registered office?
For a company (legal entity: SPRL, SA, SCS, etc.):
1. Decide on the transfer at a general meeting,
2. Publish the decision in the Belgian Official Gazette.
3. Update the address with the ECB and VAT.
For a self-employed individual (natural person):
• Declare the new business address to the Crossroads Bank for Enterprises (CBE).

What is the difference between a head office and an operating unit?
The main difference lies in their function: the registered office is the legal and statutory address of the company (official correspondence address), while the operating unit is the place of business (workshop, office, point of sale). In Belgium, these two addresses can be the same or different.
Can a person establish their private residence in a business center?
No, the registered office service offered by YELOMEX is reserved exclusively for legal entities (companies) and independent entrepreneurs.
Why? Establishing a private residence is subject to strict rules. In fact, to declare your primary residence, you must:
• Report your new address to the population services department of your municipality within 8 days of your move.
• You must submit to a residency survey conducted by a local officer to verify that you actually live at the address you provide.
The evaluation criteria include:
• Your actual presence at this address for most of the year,
• Your daily return after your professional activities,
• Schooling for your children nearby,
• Billing for energy consumption (water, gas, electricity).
If these criteria are not met, the registration in the municipality may be cancelled.
Does the share register need to be kept at the company's registered office?
Yes. The share register must be kept at the company's registered office. This allows any interested third party (such as the Federal Public Service Finance or the Federal Public Service Economy) to consult it upon request.
Can a company have a registered office that is different from its operating unit?
Yes, it is common in Belgium to have a registered office (for administrative management) and one or more operating units located elsewhere for operational needs.
Is a business unit mandatory?
Any entity carrying out an economic activity in Belgium must register at least one operating unit with the Crossroads Bank for Enterprises (CBE), even if this is the same as the registered office.
How do I get my mail?
Several options are available for managing your mail:
1. Scanning and forwarding by email: we open and scan your mail and send it to the email address of your choice.
2. On-site collection: you can collect your mail from our offices during opening hours,
3. Postal forwarding: we will forward your mail to the address you wish (postage cost: €1.50/stamp excluding VAT).
Can you receive registered letters on my behalf?
Yes, thanks to Bpost's professional postal proxy service. This service allows our office to receive your registered mail.
• Price: approximately €54.95 for a proxy card valid for 3 years.
• This non-personalized card authorizes us to collect and forward your registered mail to you.
